How to Audit Your Commercial Cleaning Vendor: A 10-Point Checklist for Facility Managers

Why Routine Facility Audits Are Essential

If you manage a commercial building, outpatient medical center, or educational facility, you cannot rely solely on tenant complaints to gauge cleaning quality.

By the time a tenant or physician complains about dirty restrooms or un-dusted supply vents, quality has already been compromised for weeks.

Conducting a quarterly Janitorial Quality Audit allows facility decision-makers to:

  1. Catch maintenance defects before they turn into expensive capital repairs (e.g. damaged vinyl floors or clogged drain lines).
  2. Protect your facility against OSHA, JCAHO, or Department of Health compliance citations.
  3. Hold your commercial cleaning vendor strictly accountable to their contracted Scope of Work (SOW).

1. Restroom Under-Counter & Fixture Descaling

Look underneath sink basins, flushometer pipes, and urinal bases. Are there yellow urate mineral deposits or water stains? Surface-wiping the top of a counter takes 10 seconds, but clean under-fixtures indicate true commercial sanitization.

2. High Dusting (Above Eye Level)

Check return air grilles, supply diffusers, door frames, and high book stacks/shelving. If dust buildup exceeds 1/16 inch, your vendor is skipping high dusting — forcing your HVAC system to recirculate airborne particulate matter ($PM_{2.5}$).

3. Touchpoint Disinfection

Inspect light switches, door handles, elevator buttons, and conference table edges. Are they sticky or smudged? In medical or high-traffic offices, high-touch disinfection must occur daily using EPA-registered List N disinfectants.

4. Trash Can Liner Fit & Rim Sanitization

Check trash receptacle rims and interior bottoms. Are liners properly sized (not falling into the bin), and are sticky food spills wiped from the container rim?

5. Hard Floor Corners & Tile Grout Lines

Look at floor corners and under radiator units. Is dirt accumulating in hard-to-reach corners? Are grout lines in tile restrooms black from dirty mop water?

6. Entrance Glass & Threshold Tracks

Check glass entry doors for thumbprints and lower door tracks for accumulated grit. Entrance glass forms your facility's first impression for visiting clients and tenants.

7. OSHA Safety Data Sheets (SDS) & Chemical Binder

Open your building's janitorial closet. Is an updated, legible SDS binder physically present? Are secondary spray bottles properly labeled with GHS chemical hazard stickers? (OSHA 1910.1200 compliance requirement).

8. Janitorial Supply Closet Inspection

Is the cleaning closet organized, dry, and free of foul odors? Are mops hung up to dry or left souring in dirty mop buckets? A filthy supply closet reflects the vendor's internal culture.

9. Baseboard & Door Jam Detail Cleaning

Check lower rubber cove baseboards along hallways. Are there black scuff marks from mop heads or vacuum bumpers?

10. Verification Log Authenticity

Check the paper sign-in clipboard or digital log on the wall. Are timestamps realistic? If a log shows a 2-hour clean completed at 10:00 PM, but security gate logs show the cleaner left at 9:15 PM, you have identified falsified proof of work.
